Privacy policy
How we look after your information.
1. Who we are
Wirral Menopause Community CIC (“we”, “us”) is a community interest company supporting people through perimenopause and menopause in Wirral. We’re registered in England and Wales under company number 14165408, at Unit 5-7 Woodside Business Park, Shore Rd, Birkenhead CH41 1EP.
We are the data controller for personal information collected through this website and our services. Our ICO registration number is [ICO number].
This policy explains what we collect, why, and what rights you have. If you have questions, contact Kate Barker at info@wirralmenopause.org.uk.
2. Information we collect
We only collect what we need. Depending on how you use our website and services, this may include:
- Contact details — your name, email address and phone number when you use our contact form or book onto a session.
- Messages you send us — anything you choose to tell us in a form, email or message.
- Booking and attendance details — which sessions, groups or events you register for or attend.
- Donation details — your name, amount. Card payments are handled by SumUp; we never see or store your card details.
- Feedback and surveys — your responses, which we may use anonymously to show our impact.
- Website usage — anonymous, summary information such as which pages are visited and what type of device is used. This doesn’t identify you (see section 5).
3. How we use it and our lawful basis
Data protection law requires a lawful basis for each use of your information. We will never sell your information or use it for purposes you wouldn’t reasonably expect.
| What we do | Lawful basis |
|---|---|
| Reply to your enquiries | Legitimate interests — responding to people who contact us |
| Manage bookings and run sessions | Contract, or steps you’ve asked us to take before one |
| Process donations and keep financial records | Legal obligation (accounting records) |
| Report on our impact to funders, using anonymised or summary figures | Legitimate interests — securing funding for our work |
| Keep the website secure and working | Legitimate interests |
| Understand how the website is used (anonymous analytics) | Legitimate interests — improving our website |
4. Health information
Because of the nature of our work, you may share information about your health or menopause symptoms with us. The law treats this as special category data, and we take extra care with it.
- We only collect health information when you choose to share it, or when we need it to support you safely (for example, access needs for a session).
- We rely on your explicit consent, which you can withdraw at any time by contacting us.
- Only the people who need it to support you can see it.
Please don’t include health details in general website forms unless you’re comfortable doing so. You’re welcome to speak to us directly instead.
We are a peer support organisation, not a medical service. We don’t give medical advice or share your information with your GP or other health services without your permission, unless we believe someone is at serious risk of harm.
5. Cookies and analytics
Cookies are small files stored on your device when you visit a website. Our public website doesn’t use cookies to track you.
- Analytics — we use Cloudflare Web Analytics to see how many people visit and which pages are useful. It doesn’t use cookies, doesn’t track you across other websites and doesn’t identify individual visitors. We only see summary totals.
- Staff login — the editing area used by our team stores a login token on their device so they stay signed in. Visitors to the public site aren’t affected.
If we embed content from other sites (such as YouTube videos or social media posts), those sites may set their own cookies. Their privacy policies apply.
6. Who we share it with
We don’t share your personal information with anyone except:
- Service providers who help us run the website and our work, such as Netlify (website hosting and forms), Cloudflare (anonymous website analytics) and SumUp (donations). They can only use your information on our instructions.
- Funders, who receive anonymised or summary information only — never your name or contact details without your consent.
- Authorities, where the law requires it or where we believe someone is at serious risk of harm.
Some of our providers may store data outside the UK. Where they do, we make sure appropriate safeguards are in place, such as UK adequacy regulations or the ICO’s International Data Transfer Agreement.
7. How long we keep it and how we protect it
We keep information only as long as we need it.
| Information | How long we keep it |
|---|---|
| Enquiries and messages | 12 months after our last contact |
| Booking and attendance records | 2 years |
| Health information you’ve shared | Until you ask us to delete it, or 2 years after your last contact |
| Donation and financial records | 6 years, as required by law |
| Analytics data | Summary totals only, which don’t identify anyone |
We protect your information with secure, password-protected systems, access limited to those who need it, and encrypted connections (HTTPS) on our website.
8. Your rights
You have the right to:
- ask for a copy of the information we hold about you
- ask us to correct anything that’s wrong
- ask us to delete your information
- ask us to limit how we use it, or object to us using it
- withdraw your consent at any time, where we rely on consent
- ask us to transfer your information to another organisation
To use any of these rights, contact Kate Barker at info@wirralmenopause.org.uk. There’s no charge, and we’ll respond within one month.
If you’re unhappy with how we’ve handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
